And yes – Your questions make total sense.

Off the top of my head –

For royalties, I suppose you could set up each retailer as a ‘customer’ in Accounts Receivable if your bookkeeper is recording things via the accrual method. But if he/she is using the cash method for your bookkeeping, then Accounts Receivable wouldn’t be an option.

For tracking units sold, most accounting software tracks total units moved via the Inventory module – but again, not in the cash method. The cash method only records things at the time money changes hands.

I suggest using a data aggregator like ScribeCount to track your units moved AND royalties earned. It pulls data directly from all retailers within 48 hours of a sale. It also has robust reporting, and you can export the results out into Excel – which gives you another data set to cross-check against your QB entries and make sure everything’s been accounted for in the financial period.

Of the data aggregators I’ve tried I found ScribeCount to be the most useful – and you don’t have to share your retailer login data with them. As a bonus, ScribeCount also has sliding pricing tiers (from free up to $20/month) that move up and down with your sales.

I was wondering if you knew of a good software or accounting system to handle tracking royalties. Or if you had some tips on how to make quickbooks do this easily. I’ve just published my 20th book and we’re still wrangling with quickbooks to give us an easy snapshot of total books sold in any given period of time. Does it make sense what I’m asking?
